We are currently seeking an Executive Support Worker to provide high quality executive and administrative services to support the efficient and effective management of the Humanitarian Services division.

Key duties and responsibilities:

  • Manage the diary of the divisional manager including arranging internal, external, interstate appointments and any associated travel and accommodation where required
  • Prepare and coordinate strategic advice, research, information and reports on diverse and complex policy, planning and operational matters to ensure the appropriate analysis of issues to support executive decision making
  • Coordinate, prepare and review high level communication including policy briefing notes and correspondence
  • Analyse and prepare information to support the divisional manager's meetings, presentations and contacts with senior government and external stakeholders
  • Manage complex and sensitive policy and operational issues and provide considered, strategic advice and solutions within tight timeframes
  • Prepare purchase orders, and verify and code invoices relating to divisional senior manager expenses
  • Assist the divisional senior managers to manage and store confidential information relating to contractual and industrial matters
  • Assist the divisional manager to respond to and prepare for media relations
  • Record and prepare minutes for meetings hosted by the divisional manager
  • Review and track the divisional manager's incoming correspondence and assist in responding to and following up where appropriate
  • Assist the divisional senior managers with the preparation and/or coordination of presentations, reports, emails and correspondence
  • Provide the divisional senior managers with regular data and work reports in an agreed format and assist with basic project and business planning activities

Selection Criteria:

Essential

  • Tertiary qualification
  • Excellent organisational and time management skills, including an ability to prioritise work and meet deadlines
  • High level interpersonal, oral and written English communication skills that ensure effective liaison with staff at all levels
  • Ability to quickly acquire an understanding of systems, procedures and processes, and where appropriate, recommend improvements
  • Demonstrated initiative and the ability to work effectively with minimal supervision
  • Demonstrated ability to deal with highly confidential and sensitive information with tact, discretion and good judgement
  • Demonstrated computer and keyboard skills, including proficiency in the use of MS Office including word processing, database, email and internet applications
  • Capacity to distil and summarise the key themes from a document
  • Awareness of and interest in refugee and asylum seeker issues

Desirable

  • Experience working in a not-for-profit environment
  • Experience working with asylum seekers and refugees
  • Experience working in a similar role
